COVID-19 Team Lead
There is one appointed for each Team at Perthshire, you are the main point of contact for your team regarding COVID-19 safety. The role profile is described by the SRU here: COVID-19 Team Lead Role Profile
SRU e-Learning Course
All coaches must have all completed the SRU e-learning course before they can participate in training sessions. Evidence, either a certificate or confirmation e-mail, must be shown to their COVID-19 Team Lead. Players and parents are also encouraged to complete the course, but it is not a requirement. The rules will change as we progress through the Return to Rugby Stages so you may have to complete it again or any updates that are made.
Risk Assessment and Club Policies
Technically, every training session needs a risk assessment completed. If nothing changes the risk assessment stands from the previous week. Under the current guidance every session should have the same risks and mitigating actions as detailed in the assessment. Please read these and comply with the other Club policies below. Should you feel something is missing then let MacKer know.
PRFC Risk Assessment Training at North Inch (6th February).
PRFC Risk Assessment Training at Letham (6th February).
PRFC Risk Assessment Indoor Training at Bell’s (6th February).
PRFC Risk Assessment Matches at North Inch (6th February).
PRFC Risk Assessment Changing Rooms (6th February).
PRFC Sanitisation Procedures for Training
SRU First Aid Guidance
Be aware that to maintain social distancing only 1 person should be inside the roundhouse or containers at a time.
Matches have resumed and before each the home team should provide a “Matchday Information Sheet” to advise of the COVID-19 safety procedures for the day. This should be sent out no later than the day before the match to both teams and the referee. Macca will provide these for all games at the Inch, an example can be seen here.
To help keep to the rules and policies we’re asking all members to follow EAGLES please remind your players & coaches regularly of these:
EVERY player must arrive on time.
AVOID rugby if you or anyone in your household has symptoms or you have been told to self-isolate.
GO straight to your pitch for Check in on the App.
LEAVE immediately after Check-out from training, exit the pitch and no congregating to minimise crowds.
EACH spectator MUST stay off the pitch and are advised to socially distance.
SOCIAL distancing encouraged when not taking part in training.
It is essential that contact tracing records are kept for each session using the Sports-Train App (see below). Please notify any issues or problem encountered to Macka.
Participation Where COVID-19 Case or Close Contact
Someone who has tested positive (LFT or PCR) cannot return until their isolation period is over.
Where someone is a close contact, but it happened outside of the Club (and is not from the same household) then the person can return following the advice of NHS Test & Protect which will be either after 10 days isolation or while daily LFTs are negative.
• They should follow the instructions from NHS Test & Protect, as this varies depending on their vaccination status and test results.
• Where training is INDOORS it may be sensible to ask the player to miss that session.
• If symptoms develop they should get tested.
Where a player/coach LIVES WITH a person with COVID-19 (so is a household contact) they will need to follow their personal isolation advice from NHS Test & Protect. If allowed to “escape” isolation with daily negative LFTs they can train outdoors, but NOT INDOORS until the isolation of the COVID-19 case in their house has ended.
If a player/coach first develops symptoms within 48hrs or tests positive within 48hrs of being at Perthshire the team are at risk.
• Team Leads should be informed ASAP and Macca know.
• If contact was all outdoors, no problem, that person isolates and the rest of the group are unaffected and continue as planned.
• Where indoor contact occurred (e.g. changing rooms, gym hall, team bus) then those who were in the group are close contacts and should be contacted by NHS Test & Protect after the index case is reported.
• Those close contacts from the Club should not attend any rugby activity for 48hrs to give Test & Protect time to contact trace. After that 48hrs has passed participation can resume unless isolation enforced by NHS. Daily LFT testing for 7 days can allow “escape” from isolation if advised by NHS, in those cases as long as the LFT that day is negative it is safe to attend rugby.
There are circumstances where a child can go to school or adult to work but is not permitted to train or play rugby.
If in any doubt, please ask MacKa as the situation can be dependent on other factors.
Responding to a Positive Case
If anyone tests positive for COVID-19 they should tell their Team Lead immediately who will then inform Macker. If they have been at the Club (this is found from the check-in/check-out data) ALL RUGBY ACTIVITY FOR THAT TEAM IS TO BE POSTPONED (see above). The SRU will then work the Club Committee to assist NHS Test & Protect as well as reviewing how & when rugby activities can resume.

Changing Rooms and Toilets
The changing rooms can now be open for use during training and matches. The PRFC Changing Rooms Procedures and SRU guidance should be followed to allow for their safest use. The key points are that changing rooms should be used for the minimum amount of time by the minimum amount of people and only for changing. That means team talks, meetings or other should take place outside. Where possible distance should be kept between players and only those from same teams should be in the room at the same time. After use the team should clean the area, using wipes to clean the benches, door handles and any other “touch points.”
Toilets can be used in the changing rooms if open, or at Bell’s Sports Centre (mask needs to be worn to go inside there).
Sports-Train App
Every team has been set up on the App which is there to help us organise training and monitor COVID-19 symptoms as well as facilitate track & trace if ever required. To register each player/coach/parent should use the correct team code when signing up. If you need them again please e-mail Makka.
Sports-Train App Coach Guidance document
Instructions for parent users to download & use the App
Every training session should be set up on the App, you do this on the Sports-Train website, and you must limit the attendance to 9 for S&C in the Gym. There is a “pre-attendance” function to for players to confirm their planned attendance or absence.
On arrival you can mark players as “checked-in” on the App then when they leave “checked-out.” This is important for track & trace purposes. If a mistake is made, you can edit the times or delete the entry. The coaches/Team Lead control the check-in & check-out each session on the App so players & parents are not to check-in or out for themselves.
Please note the “pre-attendance” register and COVID-19 Check-in/Check-out registers are not linked on the App.
Players should complete the COVID-19 symptom tracker on the day of training/matches, if not they must do so before being “checked-in.” If a player has not confirmed their attendance they should NOT be permitted to train and instead sent away.
Where possible Mini & Midi players are to have 2 parents linked to their account or if the player is over 14 they have it on their phone as well. This is so that if the Symptom Checker is not completed it can be done pitch side by the accompanying parent or player.
Ask your parents to add contact details to their and the players accounts so we have these readily to hand via the App should we need to reach them urgently.
See the video guide below for a description and walk-through of the App functions.
Pitch Layout and Training Times
We have 6x half pitches on the North Inch and have allocated times and space for each team. The biggest risk of transmission is probably before & after sessions especially if there are teams leaving and teams due to arrive. For this reason, strict timekeeping is essential and players should arrive as close as possible to the start time and promptly leave the pitches once training is over. There is only a 15 minute changeover window for pitches between sessions. The timetable has been sent out and is revised regularly by the Development Team.
To comply with cleaning and distancing rules your training pitch should be set up and used as shown in these diagrams.

Training Video Guide
To help you make sense of all these and demonstrate different aspects of the Sports-Train App a 10 minute video tutorial was produced. On some devices it doesn’t display well, but is fine if you select “full screen” view. Any questions or if you would like the PowerPoint slides please e-mail Macca.
